What we collect, and why.

Carebound Staffing collects personal information from facilities that contact us and from care professionals who apply to join our roster. This page explains what we collect, how it is used, who sees it, and how long we keep it.

1. Who this covers

This policy applies to careboundstaffing.com and to personal information Carebound Staffing LLC collects through this website, by email, and by phone. Carebound is a temporary health care services agency registered with the New York State Department of Health under Certificate of Registration TA1782.

Not covered here: when a Carebound professional works at a client facility, that facility controls its own records, systems, and patient information under its own policies and notices. Carebound does not provide patient care and does not maintain patient medical records.

2. What we collect

We collect only what you send us. We do not buy personal information, and we do not require an account to browse this site.

  • Facility and employer inquiries โ€” name, facility or organization, email address, phone number, the role or coverage you are asking about, and the content of your message.
  • Care professional applications โ€” name, email address, phone number, the title you hold or are seeking (RN, LPN, CNA), stated availability, preferred contact method, your consent to be contacted, and anything you choose to write in your message.
  • Technical information submitted with a form โ€” the IP address the submission came from, and the date and time. This is kept as a spam and abuse control.
  • Correspondence โ€” emails and call notes when you contact us directly.

Please do not send patient information, Social Security numbers, government ID numbers, financial account details, or medical records through the forms on this site. If a credential, identity, or tax document is needed later in onboarding, we will tell you how to send it securely.

3. How we use it

  • To respond to your inquiry or application, and to follow up about it.
  • To evaluate a candidate's fit for the roster, and to plan and schedule assignments once placements begin.
  • To verify licenses, certifications, and credentials against the issuing authority, and to maintain the credentialing records the Department of Health requires of registered agencies.
  • To communicate about assignments, requirements, and operational matters.
  • To keep the records applicable law requires, and to establish or defend legal claims.
  • To protect the site against spam, fraud, and abuse.

We do not sell personal information, and we do not share it with third parties for their own marketing. We do not run SMS marketing campaigns from this site.

4. Who we share it with

  • Client facilities โ€” for a candidate under consideration for an assignment, we share the professional information a facility needs to accept and supervise that person: name, title, credential status, and relevant qualifications. We do not send a facility your message history or unrelated personal details.
  • Service providers โ€” the vendors that run our website hosting, email, and business systems, acting on our instructions.
  • Regulators and authorities โ€” where the law requires it, including reporting obligations that apply to registered temporary health care services agencies, or in response to lawful process.
  • Professional advisors โ€” counsel, accountants, and insurers, where needed and under a duty of confidentiality.

5. Credential and health-related information

Credentialing for healthcare staffing can involve sensitive records โ€” license verification, background screening, immunization or health-clearance documentation required by a facility or by law. We collect these only when they are necessary for a specific assignment or requirement, we limit access to the people who need it, and we do not use them for any purpose beyond credentialing, compliance, and placement.

Health-related documentation is kept separate from general recruiting correspondence. A facility receives confirmation that a requirement is met, not the underlying medical detail, unless disclosure of the document itself is legally required.

6. How long we keep it

Inquiries and applications are kept while the conversation is active and for a reasonable period afterward. Records that relate to placements, credentialing, contracts, and agency operations are kept for at least six years, which is the record-retention period applicable to registered temporary health care services agencies in New York. Where a longer period is required by law, or a record is subject to a legal hold, we keep it for that period instead.

If you ask us to delete your information and no retention obligation applies to it, we will delete it.

7. Security

This site is served over HTTPS. Form submissions are delivered to a Carebound mailbox and stored in a database on the hosting server, with access limited to authorized personnel. We apply administrative and technical safeguards appropriate to the sensitivity of the information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your choices and rights

  • Access and correction โ€” ask us what we hold about you, and ask us to correct it if it is wrong.
  • Deletion โ€” ask us to delete your information where no legal retention requirement applies.
  • Withdraw consent โ€” tell us to stop contacting you about opportunities at any time. Withdrawing consent does not affect processing already carried out.
  • Preferred contact method โ€” tell us how you want to be reached and we will use that channel.

Send any of these requests to info@careboundstaffing.com. We may need to verify your identity before acting, and we will respond within the timeframe applicable law allows. Depending on where you live, you may have additional rights; tell us your state and we will apply the standard that applies to you.

Carebound never charges a care professional a fee โ€” not for applying, credentialing, training, uniforms, badges, or placement. If anyone asks you to pay Carebound to be placed, it did not come from us. Report it to info@careboundstaffing.com.

9. Cookies and tracking

This website does not set advertising or analytics cookies and does not track visitors across other sites. The site loads a web font from Google Fonts, which means your browser requests that file from Google and Google receives the request, including your IP address. Our hosting provider keeps standard server logs for security and reliability.

10. Children

This site is intended for healthcare facilities and working professionals. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, contact us and we will delete it.

11. Changes to this policy

We may update this policy as our operations, systems, or legal requirements change. The effective date above shows the current version. Material changes will be reflected here before they take effect.
